Upon receipt of the licensing/registration fee, Arnold R. McGall Jr.
will send the latest, fully functional version of PMC on either
3.5" or 5.25" floppy disk within ten days. The fully functional
version means the version which shall have the printing function
enabled.
WHAT PMC IS:
PMC (Phone Message Center) is a program which provides quick and simple
telephone message taking and reporting. PMC can replace those pink "While
You Were Out" phone message slips which easily get lost or discarded. Since
PMC employs relational database techniques it will help you to manage your
phone message better.
WHAT PMC IS NOT:
PMC is NOT free. PMC is shareware. You are granted a temporary license to
use PMC for a period of thirty days so you may evaluate it. After thirty
days you are expected to register PMC by paying the required license fee if
you intend to use PMC beyond the evaluation period.
INSTALLATION:
PMC has been designed to be as easy to install as possible. In fact, NO
installation is required other than copying PMC.EXE to your hard disk.
You may run PMC on a floppy disk. However, for greater speed we suggest
it be run on a hard drive.
START UP:
To start PMC just log to the drive and directory where PMC resides and
type PMC and then the ENTER key.
PMC will display a menu of various PMC functions which are described below:
1. ADDING USER NAMES TO PMC
Before you may begin using PMC you must enter all of the names of
the individuals in your organization for whom phone messages will
be taken. We will refer to them as USER NAMES.
A. To do this select menu item #3 by pressing the down arrow key twice
until the white marker is next to #3. Then press enter to execute
the Add/Edit/Delete User Names Function.
B. A pop-up sub-menu will appear offering you three choices; Add
Name, Edit Name and Delete Name. You can also exit this menu
by pressing the ESCape key once.
C. Select Add name and press ENTER. A single data entry field will
pop-up. Type the name of the individual who you will take
message for in this field. Twenty characters are allowed for this.
You may use the left/right arrow keys, the DELete key, the INSert
key or the HOME key to edit the field if needed.
D. To save the entry to disk just press enter. A message will pop-up
asking you to confirm your entry. Press ENTER again and the entry
is saved. Note: If you wish to abort the entry just press the
ESCape key.
E. Once you have saved your entry to disk the data entry field will
be erased and is now ready to accept your input for the next name
you wish to add.
F. Once you are done adding all of the names to your master list
just press the ESCape key twice. You will be returned to the
main PMC menu.
2. EDITING USER NAMES IN PMC
If you need to change someone's name as may happen in the case of a
marriage, PMC provides an editor to handle the task quickly and simply.
A. From the main PMC menu select item #3 Add/Edit/Delete User Names.
Use the Up/Down arrow keys to move the little white marker in front
of item #3. Then press ENTER to execute the function.
B. A new pop-up menu will appear displaying all of the user names
which you have entered into the PMC system.
C. By use of the Up/Down or Left/Right arrow keys you must move the
highlighted checkmark next to the user name you wish to edit.
D. Now press the ENTER key. The editing screen will now appear with
the name of the user you selected already in the data entry field.
E. Edit the name as desired. Once you are ready to save you changes
just press the ENTER key. A pop-up message box will ask you to
confirm your save by pressing ENTER again. As the edited user
name is being saved another message box will pop-up to confirm
the save. Once the edited data has been saved you will be returned
to the main PMC menu.
3. DELETING USER NAMES FROM PMC
There will obviously be times when you may need to remove a user name
from PMC. The following instructions show you how to do this.
A. From the main PMC menu select item #3 Add/Edit/Delete User Names.
Use the Up/Down arrow keys to move the little white marker in front
of item #3. Then press ENTER to execute the function.
B. A new pop-up menu will appear displaying all of the user names
which you have entered into the PMC system.
C. By use of the Up/Down or Left/Right arrow keys you must move the
highlighted checkmark next to the user name you wish to delete.
D. Now press the ENTER key. The delete screen will now appear with
the name of the user you selected displayed the data entry field.
E. Press the DELete key to delete the user name. A message box will
ask you to confirm the delete. Press ENTER again. NOTE: To abort
the deletion just press the ESCape key.
F. You will be returned to the PMC main menu.
4. ENTERING A PHONE MESSAGE
Now that you have entered all of the user names into PMC you may begin
entering actual phone messages.
A. From the PMC main menu select function #1 Add New Phone Message.
B. A phone message editing screen will appear. A PMC phone message
actually consists of two parts. The first part is called the
message header. The message header contains the following pieces
of information:
o Date and Time of Message
o Who Message Is For
o Who Message Is From
o Caller's Company Name
o Caller's Phone Number
o Caller's Phone Extension Number
o Various Action Fields i.e. Please Call, Urgent, Etc.
o Message Status
C. Please note that the From: field is highlighted. This is the first
field you would normally enter. You may move to the next field
by pressing the ENTER key. You can move from field to field by
pressing the Up/Down arrow keys.
D. Once you have entered all of the desired message header information
correctly, just move to the Status: field and press ENTER. A
Message Text window will pop-up below the message header window.
The Message text window provides up to ten lines of sixty characters
each for which to leave notes from the caller. The PMC editing
keys (Up/Down arrow and Left/Right arrow keys) can be used to move
around the Message Text window. NOTE: In this version of PMC
there is no automatic word wrap at the end of a line.
E. If the message text information has been completed to your
satisfaction just press the PgDown key. A message will be
displayed asking you to press ENTER to save the message or
to press ESCape to abort the message entry.
F. When either key is pressed another screen will pop-up asking
the user to confirm the Save or Abort. If the user presses
ENTER the message will be saved. If ESCape is pressed the
user will return to the main PMC menu.
5. EDITING A PHONE MESSAGE
There may be occasions when you may wish to make changes to a phone
message. The View/Edit/Delete Messages item is selected to edit
an existing phone message.
A. From the main PMC menu select item #2 View/Edit/Delete Messages
by moving the white box next to item #2 with the Up/Down arrow
keys. Press ENTER to execute the function.
B. A menu of user names will pop up. Select the user who's messages
you wish to edit by moving the highlighted check mark next to the
appropriate user name. The Up/Down, or Left/Right, arrow keys
will move the check mark.
C. Press the ENTER key to confirm the selection. The first message
will be displayed. Note that the View/Edit/Delete message screen
also displays the number of messages for the user as well as which
number you are viewing at the moment.
Pressing the Page Down key will display the next message, if any,
for the selected user. The page up key will display the previously
displayed message. Select the message you wish to edit.
D. To edit the selected message just press the letter "E" key. You
will note the viewing screen will change to an edit screen. Simply
move to the field you wish to edit by using the Up/Down arrow keys
to move backward and forward between fields.
E. To edit the message text simply press the page down key and then
the ENTER key. The first line of the message text will be
highlighted. You may use the Up/Down, Left/Right arrow keys or the
HOME key to move around the text.
F. When you have completed the editing of the message text simply
press the Page Down key to move to the last line. A message will
appear in the instruction box which gives you two options. SAVE
your changes by pressing the ENTER key. Or abort the changes by
pressing the ESCape key. Pressing the ESCape will leave the message
unchanged and return you to the main PMC menu.
5. VIEWING A PHONE MESSAGE
The View/Edit/Delete Messages item is selected to view an existing phone
message.
A. From the main PMC menu select item #2 View/Edit/Delete Messages
by moving the white box next to item #2 with the Up/Down arrow
keys. Press ENTER to execute the function.
B. A menu of user names will pop up. Select the user who's messages
you wish to view by moving the highlighted check mark next to the
appropriate user name. The Up/Down, or Left/Right, arrow keys
will move the check mark.
C. Press the ENTER key to confirm the selection. The first message
will be displayed. Note that the View/Edit/Delete message screen
also displays the number of messages for the user as well as which
number you are viewing at the moment.
Pressing the Page Down key will display the next message, if any,
for the selected user. The page up key will display the previously
displayed message.
D. To exit this screen when you are done viewing the user's messages
just press the ESCape key. You will be returned to the main PMC
menu.
5. DELETING A PHONE MESSAGE

A. From the main PMC menu select item #2 View/Edit/Delete Messages
by moving the white box next to item #2 with the Up/Down arrow
keys. Press ENTER to execute the function.
B. A menu of user names will pop up. Select the user who's messages

appropriate user name. The Up/Down, or Left/Right, arrow keys
will move the check mark.
C. Press the ENTER key to confirm the selection. The first message
will be displayed. Note that the View/Edit/Delete message screen
also displays the number of messages for the user as well as which
number you are viewing at the moment.
Pressing the Page Down key will display the next message, if any,
for the selected user. The page up key will display the previously
displayed message. Select the message you wish to delete.
D. Press the DELete key to delete the message. A message will appear
in the instruction window asking you to confirm your action. If
you press ENTER the message will be deleted. Pressing the ESCape
key will abort the deletion.
6. PRINTING PHONE MESSAGES
This function is available only in the registered version of PMC. It
provides a printed listing of each message for each user.
A. From the main PMC menu select item #3, Print Messages by moving the
white box next to item #2 with the Up/Down arrow keys. Press ENTER to
execute the function.
B. A menu of user names will pop up. Select the user who's messages
you wish to print by moving the highlighted check mark next to the
appropriate user name. The Up/Down, or Left/Right, arrow keys
will move the check mark.
C. Press the ENTER key to confirm the selection.
D. A message box will pop up asking you to press ENTER to begin
printing or ESCape to exit the printing module.
E. After you press the ENTER key printing of the selected user's
phone messages will begin. NOTE: If your printer is not turned on,
off-line or out of paper, a message box will advise appropriately.
F. Once the messages have been printed a message will appear advising
such. You will then be returned to the main PMC menu screen.
7. PACKING THE DATA FILES
When a message is deleted from PMC it really is not immediately erased
from the data file. Instead, it is flagged for removal. After many
days or weeks of deleting messages you should run the pack file function
in order to recover this data file space. The pack function also
provides a means to back up your PMC data base to a floppy disk.
A. From the main PMC menu select item #5 Pack Files by moving the white
box next to item #2 with the Up/Down arrow keys. Press ENTER to
execute the function.
B. A message will appear asking you to answer Yes or No if you wish
to continue with the PACK function. If you type the letter "N" the
Pack function will be aborted and you will be returned to the main
PMC menu.
C. If you type "Y" another message will pop up asking if you wish to
back up the data base. We would suggest you answer yes by typing
the letter "Y" and proceed to back up the data base to a floppy.
If you type the letter "N" for no, packing will then proceed without
backing the data base up to a floppy disk.
D. If you typed the letter "Y" answering yes to proceed with the data
base backup you will be prompted to enter the letter of the drive
you wish the data base to be backed up to. Either drive A or B.
Insert a formatted floppy disk into the floppy disk drive you will
be using. Type the letter of the drive you will be using and press
the ENTER key. WARNING: PMC uses the DOS COPY function to copy
all of the PMC files to your floppy disk. It does not check first
to see if a floppy disk has been installed. Make sure you have a
floppy disk installed into the drive you have selected before
proceeding with the backup.
E. Enter the drive letter of the selected floppy disk drive and press
the ENTER key.
F. All of the PMC data files will be copied onto the selected floppy
disk.
G. Once all of the files have been copied packing of the PMC message
files will begin automatically. Upon the completion of file
packing you will be returned to the main PMC menu.
8. TO EXIT THE PMC PROGRAM
To exit the PMC program move the highlighted box next to selection #6
Exit Program and press ENTER. Or, press the ESCape key once.
Future enhancements to PMC will be offered to those who have
registered the product for a minimal postage and floppy disk
fee for a period of one year from the date the date the user
has registered their copy of PMC.
